Meeting Called to order: Caleb Miles (VP Classic)

Chris Little, our new NCYSA Director of Coaching was formally introduced to the Council.

New Business

Revamping the Intent to Play Form

Debbie Morton proposed to the Council to combine the “Divisional Acceptance Form” and the “Counting/Non-Counting Form” to reduce the number of pages to be submitted by the teams with their Intent to Play applications. This would be a housekeeping procedure to be done by Debbie Morton and Kim Zimbal. The Council agreed. The new forms would be used for spring season.

A discussion followed as to the possibility of doing Intent to Play applications forms for Classic online. A suggestion was made to use an outside company (to eliminate buying the software) and getting a secure connection over the website in which the President or Registrar would submit all the forms for the Association. By having an online access, this would be helpful in updating constantly changing information. The question was raised about automatic money deductions, if it was possible to do in the future.

Caleb Miles stated that at the June Executive Retreat items such as those mentioned above were discussed. The council suggested that the “retreat actions” should be posted on our website in a special informational page, so that the progress of these actions and goals accomplished could be updated and made known to all NCYSA members.

One of the committees formed from this retreat is in charge of enhancing the NCYSA website to be more user-friendly to our membership, and Classic council is encouraging any suggestions and ideas be passed to NCYSA.

Debbie Morton explained answers to concerns raised by associations as to when the official scores and standings are updated on the NCYSA website. Scores are not “dumped” into the system from the online entries. They are printed and manually entered. In addition, they are also rechecked against all official copies that come into NCYSA. Scores and standings will be posted by Thursday of each play week.

Forfeit Guidelines

There have been several forfeits this Fall season. There have been questions and confusion, in some matches; as to when a forfeit occurs and whose responsibility it is to record the forfeit. In referencing the Classic Handbook, the NCYSA rules, and the NCSRA, there are many “forfeit” guidelines posted in various places. However, they are sometimes vague and even contradictory. According to the State SRA, John Bouda, it is the responsibility of the referee to check the player passes and roster prior to each match. NO PASS=NO PLAY. Questions were raised:

The council suggested that John Bouda and /or Paul James attend the next council meeting to clarify these issues. What we would like to have is a Forfeit section listing all guidelines together. Included in the forfeit section should be: “This is what causes a forfeit,” and “This is what happens when teams do forfeit.” The staff is to work on this new “forfeit section” and further discussion was tabled for the next meeting.

Classic Membership

Proposal: LEVEL THREE MEMBERS WANTING TO CREATE CLASSIC TEAMS WHO HAVE NOT PREVIOUSLY PROVIDED CLASSIC TEAMS FOR AT LEAST TWO (2) SEASONAL YEARS MUST SEEK MEMBERSHIP APPROVAL WITH A RECOMMENDATION FROM THE MEMBERSHIP COMMITTEE.

Motion: Wally McCaffety (MSC)

Vote: Passed (9-1)

Vote will go to the membership committee and then to the AGM in February 2006.

Explanation: Wally McCaffety expressed a concern about Classic membership regarding Associations who have sponsored Classic teams in the past but haven’t had teams in several seasons, and wish to have Classic teams again. The motion proposes making associations who want to have Classic level teams that haven’t had these teams for two seasons, reapply for Classic membership through the membership committee. The motion to discuss was made by Wally McCaffety and seconded by Steve Crane.

Discussion: Questions were raised as to whether we are setting a precedent for adding any level of play. By accepting this proposal the “grandfather status” would be changed. Therefore, if you drop the Classic level of play, an association would have to go through the membership process again.

A change has occurred with the Spring 2006 play dates as stated above in the minutes.

Due to a conflict with the ODP date of March 5 th, the double play date of March 4 th and 5 th has been changed to February 25 th and 26 th. March 4 th will remain a play date. This is the current scheduled Classic play dates that will be posted for Spring 2006:
